Where the money actually leaks

After more than 25 years in fixed operations and fleet management, the same three leaks show up in shop after shop. The Vault is built to measure each one with your own numbers.

1 · Unapplied time

Technicians on the clock but not on a job. It rarely looks dramatic in a day — and it is paid for at full wage, every day.

$175 / dayIn the workbook's labelled sample: 5 techs, $35/hr cost, against a benchmark of under $100/day

2 · Discounting & ELR drift

Your posted door rate is not what you collect. Discounts at the counter quietly pull the effective labour rate below it.

$137.14 ELRSample effective labour rate against a $140.00 posted door rate — a discounting check, in the sample's own words

3 · Stale menu prices

Menu prices set years ago while the door rate moved on. Every oil change and rotation sold at the old price leaves the difference behind.

−$15.13Sample gap on a single tire rotation versus the current door rate — small per job, repeated all month

What's inside

One workbook, five working tabs, and a guide for each half of the system. Sample data is fictional and labelled as such on every tab — replace it with your shop's totals before use. Benchmarks are starting points to calibrate, not promises.

The workbook — cover + 5 working tabs

Excel · Opens with a cover sheet, then the five working tabs below · Consistent headings, blank input rows ready for your figures

  1. 1. Daily Tech TrackerMaster daily productivity & efficiency tracker by technician — clock hours, hours applied, hours sold, and the executive summary that rolls them up.
  2. 2. ELR & Leakage CalculatorYour real effective labour rate against your door rate, and what unapplied labour is costing you per day at your wage cost.
  3. 3. Advisor ScorecardScore each advisor on the numbers that show up at the counter — so coaching conversations start from data, not impressions.
  4. 4. Monday ReviewThe weekly review sheet and menu checklist that turn last week's numbers into this week's actions.
  5. 5. Menu Price ReviewLine-by-line check of menu prices against your current door rate, so old prices stop hiding in plain sight.

The sample, exactly as it ships

This is the executive summary from the Daily Tech Tracker, with the workbook's own sample figures. It is the first thing you see — and the first thing you replace with your own totals.

Run your own leak math

The same arithmetic the ELR & Leakage Calculator does with your real figures. Try it with rough numbers — most owners have never priced their unapplied time before.

This is paid time producing no sold labour — before any lost gross on the work those hours could have carried. The Vault's calculator does this with your actual tracker figures, tech by tech, instead of one shop-wide estimate.

Built by someone who has run the shop

Warren Knights Owner & Principal Consultant, Roundtable Consulting — Camlachie, Ontario
  • 25+ years in automotive service, fixed operations, and fleet / equipment management
  • Former service manager, including a commercial / heavy fleet shop
  • Creator of the Shop Profit Audit ($895)

I help independent auto shop owners and service managers improve profit, productivity, and customer satisfaction — without a DMS overhaul or a consulting engagement.

I know where the money leaks because I've managed it: unapplied technician time, discounting at the service counter, and menu prices that haven't kept up with the door rate. At Glassford Auto Group, my work included Hyundai Signature Certification three years running, with NPS and Fixed Right The First Time improving every year, and technician productivity turned into profit.

The Vault is that experience in workbook form — the trackers and reviews I wish every service manager had on their desk on Monday morning.

Licence, updates & common questions

The same terms shown on the Square listing, in full.

Licence & updates

  • Single-facility licence. One purchase covers one shop location.
  • Free updates to Guides 1 & 2 on request. Email warren@roundtableconsultingservices.com with your Square receipt and you'll be sent the current version.
  • Future guides are sold separately — the free-updates offer covers Guides 1 & 2 only.
  • Before opening an update, copy your figures out of your current workbook first, so your numbers carry over cleanly.
  • Your copy is yours to use, stamped for your facility — please don't pass it around; a leaked copy carries its buyer's mark.
Is the sample data from a real shop?

No. The sample data is fictional and labelled as such on every tab. It's there so you can see exactly how the formulas and benchmarks work before you enter your own totals.

What do I need to use the workbook?

Microsoft Excel. The workbook is a standard .xlsx file with the formulas built in — you type your figures into the blank input rows and the summaries calculate themselves.

How and when do I receive it?

By email, within 24 hours of your Square purchase, to the email address you provide at checkout. The package is the workbook (cover sheet plus five working tabs) plus Guide 1 and Guide 2 as PDFs.

Is tax charged on the $149?

No. The Square listing is set with no tax on this digital product — $149 CAD is the total you pay at checkout.

Will this guarantee my shop makes more money?

No — and be wary of anyone who promises that. Benchmarks in the Vault are starting points to calibrate against your shop. What the Vault guarantees is visibility: you'll know your productivity, your real ELR, and your unapplied-time cost in dollars, every day.

Can I use it in more than one location?

The licence covers a single facility. If you run more than one shop, get in touch at warren@roundtableconsultingservices.com and we'll sort out the right arrangement.
